Exhibitors Terms and Agreements
Date/Location: The Annual Norwich Auto Show is scheduled for Sunday, September 16, 2012 from 8:00 am to 3:30 pm at Dodd Stadium, 14 Stott Avenue, Norwich Connecticut. Please note: No dogs are allowed on the premises.
Exhibit Hours: All exhibits must be set-up and all packing materials out of sight no later than 8:00 am on the morning of the event. No early breakdowns are permitted.
Set-up: Set-up will run from 12:00 pm to 5:00 pm on Saturday, September 15, 2012. No deliveries allowed at Dodd Stadium before said time. Camping is permitted. No showers, or hook-ups on-site.
Security: There will be security on the grounds on Saturday and Sunday, September 15 and 16, from 5:00 pm to 6:00 am.
Space: Your 20 X 20 vendor space does not include tables, chairs, tent, or electricity. Tents and electricity are available to purchase at an additional fees.
Licenses: Exhibitor shall be responsible to obtain any and all licenses required for the exhibit.
Food and beverages: No sales of food or beverage are allowed of any type Spaces: Vendor space is assigned on a first come, first serve basis. You will receive notice of you acceptance via email. The notice will serve as your paid entrance/ticket into the show.
Rights of the Management if event is not held: Management shall not be liable for any damages or expense incurred by Exhibitors in the event the show is delayed, interrupted or not held as scheduled; and if, for any reason beyond the control of Management, the show is not held, Management may retain so much of the amount paid by Exhibitors as is necessary to defray expenses already incurred by the Management.
Cancellation of Contract: If this agreement is cancelled by Exhibitor for any reason, or by Management because of Exhibitor’s default or violation of this agreement, monies paid to Management by Exhibitor shall be retained as follows: If cancellation occurs 60 days or more before the start of the Show, Management shall retain 25% of the total rental and return the balance to Exhibitor. If cancellation occurs within 30 days of the Show, the entire rental paid by Exhibitor shall be retained by Management. The retained rental shall be liquidated damages for the direct and indirect costs occurred by Management for organizing, setting up and providing space for Exhibitor’s withdrawal including reletting the space. All cancellations must be in writing.
Responsibility: Only duly authorized officers of the Norwich Auto Show Committee shall approve all rules, regulations, space to be used, show layout, show hours, equipment or materials to be displayed, and all other details of the show. The Greater Norwich Area Chamber of Commerce its officers, and agents, assume no responsibility for any fire, act of God, theft, labor disputes, personal injury, public liability, or any claims that may arise from injury, losses, damage to property or person resulting from the Norwich Auto Show. The Exhibitor assumes responsibility and liability for such losses, damages, and/or claims through maintenance of sufficient insurance, and further agrees to indemnify and hold harmless the Greater Norwich Area Chamber of Commerce from any and all occurrences resulting from participation in the Norwich Auto Show. The Exhibitor shall be solely responsible for all losses and/or damages to his/her person, goods, or property from any cause.
Liability: In consideration of the acceptance of the right of participate, entrants, participants, and spectators (hereinafter "Entrant"), by execution of this entry form, release and discharge the sponsors, the Greater Norwich Area Chamber of Commerce, Inc., its officers, directors, employees, agents, representatives, servants, and anyone else connected with the Norwich Auto Show from any causes whatsoever that may be suffered by any Entrant to his person or property. Further, each Entrant expressly agrees to indemnify all of the foregoing entities, firms, and persons of and from any and all liability and claims occasioned or resulting from the conduct of Entrant or any participant assistant or person cooperating with Entrant and under the direction or control or Entrant.
